Associate Account Manager Job Description

This individual will support the work of the CEO and perform office manager duties. This individual will work out of our main office located in Scottsdale, Arizona.

Responsibilities will include:

  • Capture, organize and manage CEO task list
  • Answer the CEO’s phone extension
  • Manage the CEO’s calendar
  • Maintain company level calendar
  • Vet people and businesses prior to booking interview or meeting with CEO
  • Assist CEO with email organization, responses, and manage the inbox as a delegate
  • At the CEO’s discretion, accompany him on travel (up to 25% Travel requirement) handle all scheduling, logistics and frequent changes to the same. If the CEO opts to go alone, adjust working hours to coincide with whatever time zone he is in.
  • Book travel for the entire company
  • Event planning and execution (Board meetings, annual investor meeting, company retreats/seminars)
  • Prepare CEO expense reports
  • Prepare documents, presentations, and other materials
  • Facilitate CEO signature on documents
  • Organize and file signed documents
  • Attend meetings and take notes with special attention to action items and next steps
  • Assist CEO and Chief of Staff with special projects
  • Assist Chief of Staff with HR and onboarding functions
  • General handling of paperwork, and filing
  • Wiki librarian
  • File system manager
  • Find and manage vendors (applications, quotes, contracts, portals, passwords, W-9, invoice review)
  • Working with Company business systems, e.g. QuickBooks Online, Dropbox, Salesforce, Office 365, etc.
  • Physical office organization and management including interface with landlord
  • Sending packages and office mail
  • Open, distribute and file office mail
  • Miscellaneous errands

You Are:

  • Obsessively organized
  • Skilled at tracking and managing multiple separate projects
  • Possess excellent verbal and written communications
  • Proficient in MS Office Suite
  • Energized in an early-stage company environment
  • Have five-plus years of experience
  • Must have a 30 min or less commute to the office
  • Must be fully vaccinated and able to travel anywhere in the world

Desirable but Not Required:

  • HR experience a plus
